I had exactly the same trouble. I fixed this by using the dial on the printer to reset all parameters (using the menu for that, in system settings). I then reconnected the printer to the wi-fi network, entered all my other settings and voilà! It didn't fail since. Before that, I couldn't use the printer after about 5 minutes from turning it on.

I have not seen this issue with my CLX-3185FW and I leave it on (not turned off but I do allow it to go into power save mode) at all times and have not yet experienced this problem. I wonder if the problem is a driver issue or a problem with the printer. Do you have this problem with the printer showing as offline on only one computer but not another or is this on all computers in your network environment? If the former, then I would suggest reinstalling the printer driver on the offending computer. If the latter, get in touch with Samsung's technical support for assistance as this could be resolved by a firmware update, more recent driver release than what your computers are using, or by taking the printer into a certified Samsung repair technician for service.

I don't know if this is the same problem as I had or not. If this is a wireless issue, try this.
I couldn't print anything and turning the printer off/on didn't make it come back from "offline" for one of the computers. Turns out, it was a firewall that was blocking the communication between the printer and the system. Try turning the firewall of your security system and windows off and see if that makes your problem go away. If it solves your problem, configure your security software properly so that your firewall does not block it. Typically, it might be "Spooler SubSystem App" being blocked. c:\windows\system32\spoolsv.exe is the program.

Wireless setup

I setup the CLX-3185FW printer on my wireless network. I used the provided install disk and set it up wirelessly to two windows 7 laptops. It worked great the rest of the evening. The next day both laptops are not connecting and printing. Control panel is reporting the printer as offline. What can I do to keep windows connected to the printer?

Did you, by chance, shut off the printer for the evening as well so that in the morning, you had to power it back up just as you had to power up the laptop computers? If so, then what probably happened was that your printer lost its DHCP address assignment and, therefore, when it powered back up, it went out to the DHCP server built into your wireless router and requested a new address. That new address is different than what the printer originally had, so the laptops are looking for it at the wrong address. The easiest way to resolve this is to use the DHCP server in the router to give it a "static" address assignment. This way, each and every time that the printer powers up and does not have an active address assigned to it, the DHCP server will give it the same address that you have set for it to have permanently. For example, if your router assigns addresses 192.168.0.100 through 192.168.0.199 from the DHCP pool, you can have it give the printer a "static DHCP" assignment of 192.168.0.199. That way, you and your computers will always know that it is at that 199 address and, therefore, can always see it and print to it. Once you have set the address to what you wish for it to be, you will need to go into each of the laptops (and any other machines that you wish to have print to that printer) and reconfigure their IP address "printer ports" to point to that address. If you are not familiar with how to do some portion of this process, I would suggest getting in touch either with Samsung's technical support (for the Windows portion of the process) or with the manufacturer of your wireless router (for the router portion of the process) for further assistance.

I had this problem too when I tried to set it up. Mine did not work at all after connecting on one of the computers when the other one worked fine. It turns out it was a firewall problem with mcafee. The printer was reported as offline as well. It was windows 7 operating system. When I turned the firewall off, then the printer comes back "online", and everything is ok.
Try testing it with firewall off, then after few minutes, see if you can print. If you can, turn the firewall back on. And see if "Spooler SubSystem App" where c:\windows\system32\spoolsv.exe is the app is being blocked by the firewall. Give full access to that app if so. Then see if your printer is working.
If that is not the problem, but disabling firewall of the security system makes the problem go away, you need to see which other printer related programs are being blocked by your firewall.

The Toner Save functionality seems to be related to just graphics. Check how the Print Quality is set on the Basic tab. By default, it is set at Normal but if it is printing excessively lightly, then it may have been set to draft or it could be that your toner cartridge is running out of powder and, thus, you need to compensate by using Best instead of Normal. Remember, the black toner cartridge has an average 1500 page yield (at 5% coverage per printed page). Also, if you are still working with the first cartridge, it could be that it is a "starter" cartridge rather than a full-yield cartridge, so even if you have not printed nearly 1500 pages, you could still be running out of toner. (I haven't yet determined whether that is the case since I got my unit only yesterday).

If none of this works, it could also indicate problems within the unit itself such as a dirty charging roller (the foam roller that puts a positive charge to the paper prior to the application of the toner, which carries a negative charge). If there has been a toner spill inside the printer, that could easily cause this problem. The charging roller is not a user-serviceable part, so you will need to get in touch with an authorized repair center to replace that part. Presumably this unit is still under warranty, so it could be that the replacement--if done by an authorized repair center--will cost you nothing.

Setting up Address Book
You can set up Address Book with the fax numbers you use most frequently. Your machine provides you with the following features for setting up Address Book. Before beginning to store fax numbers, make sure that your machine is in Fax mode.

Speed dial numbers
You can store up to 240 frequently-used fax numbers in speed dial numbers.

Registering a speed dial number
1.Press (Fax) on the control panel.
2.Press Address Book on the control panel.
3.Press the left/right arrow until New & Edit appears and press OK.
4.Press the left/right arrow until Speed Dial appears and press OK.
5.Enter a speed dial number between 1 and 240 and press OK.
If an entry is already stored in the number you choose, the display shows the message to allow you to change it. To start over with another speed dial number, press Back.
6.Enter the name you want and press OK.
For details on how to enter alphanumeric characters (See "Entering characters using the number keypad (CLX-3185FN/CLX-3185FW only)" on page 2).
7.Enter the fax number you want and press OK.
8.Press Stop/Clear to return to ready mode.

Editing speed dial numbers
1.Press (Fax) on the control panel.

Looking over the documentation on the CLX-3185FW, it seems that if you are attempting to send a fax from your computer, then there is no way to fax multiple files at the same time. Essentially, the "fax from PC" function acts like a printer driver. Instead of printing to a print queue, you instead are "printing" to a fax transmission queue. Thus, just like you can send only the one open document to the printer, you can send only one open document to the fax queue. The fax function is not like sending an email with multiple attachments. To send multiple documents, you will have to "print" to the "Fax from PC" function multiple times. The way to get around this, of course, is to print the documents and then send them from the machine itself as a single fax transmission just as you would any other multiple-page hard copy fax you wish to transmit.

If you have replaced the toner cartridge, did you remember to remove the plastic seal that keeps the toner from leaking out while in storage? This is quite easily overlooked and would cause blank pages to occur.

If the problem is not resolved this easily, then it sounds like you may have a defective unit. If it is still under warranty, contact Samsung to find out where to take the unit. The problem could easily be a failed laser unit, high-voltage power supply, formatter board, or charging roller. (I would think that with this model, the first three parts would lead to error messages on the display panel but I am not yet certified on this model, so that could be an erroneous assumption.) None of these parts are user-serviceable, so if the issue with the toner cartridge is not the solution, then contact Samsung to have a professional technician evaluate your machine.

Question

Whether wireless or connected, when I print I get a No Power error, but I can scan to my computer (wireless or connected) and I can make copies. Why?

I don't know what happened. This printer worked for a few months and hasn't worked since to printer only from any computer. The printer can scan both wirelessly and connected over USB with no problem from the same computers. I can make copies with the machine with no problem. But every time I send a document for printing, I get an error that says the device is turned off and the only troubleshooting guide advice is to plug it in. Frustrating because it's already plugged in. Help?

This sounds like a driver problem. Windows Update may have tried to install a new version of the driver but, instead, corrupted it. What I would suggest is removing and reinstalling the software that came with your printer.

Question

How do I get my clx-3185fw laser printer to print photos in a spreadsheet document?

The document will print on a different printer, but I get (SPL-C error- including corrupted data; system : src_5.47/xl_image; line: 731) when I try to print from the laser. If I remove the photo(s) it prints just fine.

Hmmm, that could be a limitation of the Samsung Printer Language (SPL) and, thus, you might want to try switching over to the more universal Printer Control Language version 6 (PCL 6). You accomplish this by going to Control Panel and double-clicking the Printers and Faxes control panel applet (if using Windows XP) or the Devices and Printers control panel applet (in Windows 7). Once there, right-click on the CLX-3185FW and click on either Properties (Windows XP) or Printer Properties (Windows 7) and wait for a new window to appear. The next to right-most tab will be Device Options and you should see the only option there is Printer Language, which is currently defaulted to SPL. Change that to PCL 6 and click OK at the bottom right of that window. Try printing again and see if that resolves your problem.

This sounds like that it could be a problem with either the charging roller or image drum not keeping as high a charge as is normal, which indicates a problem with the printer. Get in touch with Samsung's technical support and find out where to take the printer for service in your area. Also, I would advise taking in a sample of a printout that demostrates the problem that you are seeing. If the problem is consistently after the first two pages are printed, then find something on the internet (such as a news article) that is three or more pages in printed length and print that so that you do not take potentially confidential material regarding your client to the eyes of the repair shop.

It depends on what you wish to print. Presuming that the labels that you are printing are just basic name/address labels and, thus, you are printing basic black text, then you would press the black Start button located to the right side of the printer's control panel: it has the word Start printed over two buttons, one is grey and the other is blue. Under the grey button is the word Black. That is the button you would press if you told your program that you wished to do a manual feed. I find, however, that the simplest solution is to just slide the media you wish to use instead of the standard inside the paper tray along the top of the paper tray until it reaches the six upright flanges at the far end furthest inside the printer. At that point, it is aligned with the standard paper that you use in the machine and will be the top most page available to it, thus it will be grabbed when you run the next print job. Now, be aware that it is not recommended to use a partial sheet of labels inside a printer (most especially a laser printer) as the wax backing to which the labels are typically attached is not designed to withstand direct heat application by the fusing assembly (which is about 350 degrees Fahrenheit). As such, at a minimum, some of the wax could melt onto the fusing roller and/or the image drum and cause printing problems. Further, because of the excess heat that is present near the edge of the remaining labels, the adhesive may let loose of the wax backing and stick onto the first nearby surface available, which is often a toner cartridge or image drum, causing replacement of the compromised part to be required. As such, I generally recommend to my clients that labels be printed in an unheated printer, namely a dot matrix or inkjet printer, especially in the case of partially used pages of labels.

There could be a few things at issue here. First, you might have a bad toner cartridge. Inside the CLX series toner cartridges (as I learned just recently as an owner of a CLX-3185FW printer), there are "toner chips" which monitor the state of the toner cartridge, such as how many pages the toner cartridge has printed. If this is an "OEM" refilled cartridge, it could be that the chip either has been refilled too often and has exceeded its maximum values, thus causing the "invalid toner" message or it could be that the chip was damaged during the refill process, ending up with the same result. The best course of action is for the "toner chip" to be replaced each time the cartridge is refilled, even though our friends here at Samsung do not recommend using refilled cartridges. The reason being that they can leak toner and cause damage (not covered by warranty) inside the printer. Thus, if you choose to use refilled cartridges, please be aware that you could void your warranty. Now, to get back to other possible issues, the second is that the toner cartridge itself is bad. If this is a brand new Samsung-branded cartridge (it came in a factory-sealed Samsung box with the blue corporate logo on it), then you should get in touch either with the reseller who sold you the cartridge or with Samsung directly to arrange for an exchange. The third option is that there is a problem with the printer itself. There is a series of four contacts for each of the four toner cartridges inside the front door of the printer. It could be that the contacts, wiring, or some other part of that mechanism has failed and so the printer is not able to obtain the information from the cartridge that it requires to know how much toner remains, whether it is installed, etc. Try swapping out the toner cartridge with another of the same color (swap black for black, for example) and see if that resolves the probiem. If so, then the problem is a bad cartridge. If not, then the problem is with the printer and needs to be diagnosed by a Samsung certified repair technician. In that case, get in touch with Samsung and get advice about where to take your printer for repair.

The CLX-3185FW does not have a scanner lock, which is common on flatbed scanners to keep the scanning assembly from being damaged while the device is being transported. If the software that you are using claims that the scanner is "locked," then it could be an incompatibility with the software and the CLX-3185FW (in that the software is not communicating properly with the scanner subsystem to get it to start the scan process), corrupt scanner driver, or a problem with the unit itself. Have you verified that the print function of the unit is working and, thus, there is not a communication problem whether by wire (USB or Ethernet) or wireless, depending on which method you use in your installation? If the printer functionality works, then the problem is not the method used for communication and, therefore, points back to one of the other three possibilities I mentioned. To check that the scanner arm moves appropriately, try making a copy of something (either black/white or color, it doesn't matter). If it does, then the scanner arm is not "locked" or have some problem with actuation. So, that would indicate a software problem of some sort and you would need either to reinstall the driver or speak with the technical support company of whichever imaging package through which you are trying to scan. To play it safe, I would probably do both.

Question

Scanning doesn't seem to work on CLX-3185FW

Hi,

I'm trying to use the scanning function on my CLX-3185FW, and it doesn't seem to be working.
This is what happens:
1. I plug in the USB drive to the front of the printer.
2. I choose Scan to USB.
3. The scan does go through; The scanning process starts and after the process the printer says the job is complete.
4. I take out the USB drive, and insert it to my computer, and I don't see any files that were scanned.

If you could help me out on how to resolve this issue, I'd very much appreciate it.

Hmmm, you say that you hit the "Scan to USB" option but you did not say whether you hit the Color Start or Black Start button (hitting either will allow the same result, namely the scan platen will start to move and take in the image of your document). After the scan is complete for that page, you should receive a message asking if you have other pages to scan. If the answer is no, then it will actually take the image (or images, if you have scanned more than one page) from memory and write them out to your USB device. The writing does not actually occur until after the final question is answered. If you are omitting answering that question, that would explain why you are not seeing any files written to your flash drive.

It sounds like the fax function may not be set correctly. Secure Fax means only that it will receive faxes and store them in memory until the proper 4-digit PIN is input at the machine console. This insures that no one but the person for whom the faxes are intended will see the fax transmissions.

What I believe you need to do is check the fax receive mode itself. There are several options available: Fax, Tel, Ans/Fax, and DRPD. To check the setting, press the Fax button on the machine console, then press the Menu button. Press the right arrow until Fax Setup shows on the screen, then Press OK. Next, press the right arrow until Receiving shows, then press OK again. Press the right arrow some more until Receiving Mode appears, then press OK again. This is where you will have the various options I mentioned. To explain the options,

Fax: This is the default set by the factory and means that the machine will answer all calls coming in. If you use a dedicated phone line for the fax function, this is the option you need to have set.

Tel: This options means that you have only the single phone line that you use for your regular phone calls and for your fax machine and, as such, this mode means that the fax machine will not pick up any calls. Instead, you need to go to the front console and press On Hook Dial and then Start to get it to receive.

Ans/Fax: This option is for when you share a phone line with an answering machine. The answering machine will answer the phone call but the fax machine will listen to the phone line and determine if the "fax beep" (fax initiation tone) is present. If so, then it will pick up the line and start the fax reception process. If you wish to use your machine in this mode, I suggest having the fax machine plugged into the telephone wall jack and the answering machine plugged into the Extension Telephone socket (EXT socket) on the back of the machine. This will allow the machine to cut off the phone line to the answering machine so that when it does pick up a fax call, if the answering machine does not stop its outgoing message automatically, it will not interfere with the reception of the fax transmission.

DRPD: This option is for a special phone service called Distinctive Ring. This service has the normal pattern ring for the primary phone number for that line but then has an alternate ring pattern (such as two short rings instead of the US-standard long single ring) for a second phone number assigned to that same phone line. In DRPD mode, the fax machine will not answer the line unless it detects the specific pattern to which it is configured. If you wish to use this feature, then you need to set the machine to DRPD and then, while "Waiting Ring" appears on the screen, call your Distinctive Ring phone number and let the line ring several times until "Completed DRPD Setup" appears on the screen. At that point, the fax function will answer anytime that it hears that ring pattern but not any other phone calls.

Once you have made the appropriate selection for your situation (and, if necessary, performed the ring training necessary for DRPD), press OK.

At this point, your display should say "Receiving" and "Receive Mode" on the second line. Press the right arrow one time and you should see "Rings to Answer." Press OK. In here, you can input a number between 1 and 7, inclusive. This is the ring on which the fax function will pick up the phone line presuming it is in Fax or DRPD mode. In Tel or Ans/Fax mode, this is meaningless. My advice is to set it to 2 rings, which is pretty standard, though you may set it for 1 if you find that you have problems receiving faxes at two rings.

The printer is not set up for "manual feeding" of paper: there is no multipurpose tray or anything of that nature on this machine. That is actually something that I see as an oversight on Samsung's part. The way to overcome this is to remove the paper that is in the paper cassette and fill it with whatever stock you wish to use. However, if you are printing something, such as a cover letter, on special stock and, therefore, need only one piece that is the same width as your typical paper (let's presume letter size), then what I often do is just slide it along the top of the cassette until it falls between the two paper guides on the two sides of the paper in the cassette. This ensures that the paper will be fed correctly and also makes sure that it is the first piece of paper retrieved by the paper pickup rollers. The way the manual recommends doing it is to place the paper you want to use in the paper tray. If it's only a single sheet, then put it on top of the other stock face down with the top edge farthest inside the printer.

In what way do you find the paper tray difficult? All you need to do is pull it out from the front of the machine complete, flip open the door, place the paper inside, and put the tray back into the bottom of the machine. Question

Can the CLX-3185FW receive as well as send emails?

I know that the CLX-3185FW can "scan to email" and send out status messages via email but can it also go out and check an email address and print whatever it finds there? In the configuration of the email functionality, it speaks of POP3 login (in reference to it being required before SMTP authentication), so I am just curious if Samsung went the extra step and made this functionality possible. If so, how does one set it up?

Though I am the one who asked this question, I now have the answer straight from our friends at Samsung. Thus, I thought I would let my fellow users and owners know their words of wisdom.

Apparently the email function is outbound only, not an ability to print emails received at a monitored address. When asked if this might be a function made available in a future firmware update, the answer was "unknown." I take that to mean that the idea had not occurred to them and that they probably won't make it happen, though I can see how it would be very handy (and quite useful, especially in my business). I sure hope that they do give it serious consideration rather than let it fall to the wayside.

There are a number of details missing from the problem description, so let's see if we can get some of the issues covered and help point you in the right direction.

First, I am going to assume that you are using a Windows machine rather than some sort of Apple Macintosh. Second, I am going to assume that you have the printer attached to your computer in only one fashion (such as only USB or network) rather than multiple ways. (The reason being that if you have the printer attached by USB and you are also trying to look at it through the network, that can very easily confuse Windows and you can get all sorts of odd problems such as not being able to print or printing only about half of a document.)

So, let's start with baby steps. You got the printer unboxed, all the various bits and pieces of tape and other packing material removed, and found the toner cartridges already installed inside the machine. You then attached the power cable and decided whether to use the printer by USB connection or network connection. After making this decision and prior to attaching the USB cable (if you chose that option), you installed the driver from the disc that came with the printer, correct? If not, then either use the disc that came with the printer or download the software from

During the installation of the driver, you will be asked how you wish to attach the printer. Make the appropriate selection for your installation and proceed as directed.

Once the installation is done and any appropriate cable is attached to the printer and either the network or your computer, all should be ready to go. Windows will probably already have set the new printer as your default. To verify this is the case (or change it to another printer if you wish this not to be the default), go to your Start Menu, Control Panel, and Printers and Faxes (or, in Windows 7, go to Start Menu, Control Panel, Devices and Printers). If it is the default printer, you will see a circle with a white checkmark inside next to the printer's icon. Open a document in your preferred word processor (such as WordPerfect of MS Word) and press Ctrl-P to get ready to print. Before hitting the "Print" or "OK" button, make sure that the CLX-3185FW printer you just installed is the selected printer at the drop-down menu at the top of this print window. If it is not, then select it, then press the button on the window to send the document to print.

If it still is not printing, then more than likely there is a configuration error and the best way to get this resolved would be to call Samsung's technical support to determine the cause of the problem. (Be aware that those of us who answer questions here are fellow printer owners such as you.) You can reach Samsung's technical support staff at 1-800-SAMSUNG (1-800-726-7864). Per the Samsung website, they are available 24 hours a day, 7 days a week at this number.

Do you, by chance, have DSL service on your phone line? If so, then make sure that the fax machine is hooked through one of the DSL filters as well as your phone. The reason being that it could be detecting the various squeaks and squawks of the humanly-unintelligible noise as being a fax machine trying to initiate a transmission. On most DSL filters, there are two jacks: one marked DSL (or maybe HPN or HPNA) and the other marked Phone. Make sure that anything that you try to use with your voice calls (telephones, answering machines, caller ID devices, fax machines, etc.) are attached to the Phone. If you are not sure which connection is which, plug the filter into the wall phone jack and then plug a phone into one jack and then the other. On one, you will hear a clear phone line while on the other, you will hear the dial tone garbled with all sorts of other noise. Make note of the one that gives you a clear dial tone. That is the side of the filter you want to attach all devices other than your DSL modem. Now as to the chain of devices from the filter, I would suggest having your CLX-3185FW attached directly to the filter, then the answering machine plugged into the back of the CLX-3185FW unit, and then any telephone you wish to use plugged into the back of the answering machine. This way, when you receive an actual fax transmission and the answering machine may not disconnect when the fax machine "answers" the call, it will not hamper the transmission. The reason being that the fax function disconnects the "phone" jack from the phone line when it picks up.
